Backstage Manager Itinerary – Aerial Open Mic Night (04/05/2025)

5-6:00 PM – Arrival & Setup



  • Arrive at the venue and check in with the event organizer.
  • Review the final performance lineup and schedule.
  • Help Set up the backstage check-in area with the performer list and any necessary materials.
  • Ensure the backstage area is clear, organized, and ready for performers.




6:58 PM – Performers Spread Out in the main Room around audience behind big white stage, in other rooms, etc


7:00 PM – Backstage



  • Kindly Remind performers of backstage etiquette—no extra people, stay quiet, and keep the space organized.
  • 2 min warning Confirm the first few performers are warmed up and ready to go.
  • Ensure all performers are present.
  • Have performers spread out around the room (not on the stage) in preparation for the grand entrance.


***remind everyone to stay on stage as a group to take a bow at front of stage and then walk off.****


7:30 PM – Show Begins



  • Keep track of the show order and monitor timing.
  • 2-minute warning: Alert the next performer to start getting ready.
  • remind everyone to stay on stage Bow after individual performance then walk off
  • Ensure smooth transitions between acts, making sure the next performer is side stage and ready to go before the previous act finishes.




7:45 PM – Fashion Show Prep



  • Gather all vendor fashion show participants and distribute their outfits or accessories.
  • Ensure all participants know their walking order and where to enter/exit the stage.
  • Perform final checks for outfit adjustments, styling, and readiness.




7:56 PM – Fashion Show Begins



  • Line up all participants in order and ensure smooth transitions.
  • Make sure participants are ready to walk onto the stage on cue.




Throughout the Show



  • Keep the backstage area clear and organized.
  • Assist performers with costume adjustments, equipment, or props.
  • Ensure all performers are aware of their upcoming stage time.
  • Maintain a smooth flow by keeping everyone on schedule.




Intermission 



  • Confirm the second half of performers are present and prepared.
  • Give a 2 minute warning to the next performer after intermission.
  • Keep energy up and ensure smooth transitions when the show resumes.
